Calibre

Privacy policy

Last updated: 4 September 2026

Calibre is a work tool. It handles the minimum data a team needs to record and follow the maintenance of its facilities, and nothing else.

In short: no advertising, no analytics, no third-party trackers, and no data sold or handed to anyone. The app does not work without an account created by the organization that uses it.

Who is responsible

Each organization running an instance of Calibre is responsible for the data it records and for deciding who may access it. Calibre provides the software and the infrastructure that runs it, acting on that organization's behalf.

If you are staff at an organization that uses Calibre, questions about your account and the data recorded go first to whoever administers it there.

What data is handled

Data What for
Email address and name Identifying your account, showing who did what, and sending you the password recovery link.
Password Stored hashed with bcrypt. Nobody, not even an administrator, can read it.
Role and assigned area Determining what each person can see and do.
What you record in the system Tickets, comments, hours worked, costs and photos. This is work content, and it belongs to the organization.
Notification identifier A code Apple or Google assigns to the device, needed to deliver an alert. On its own it does not identify a person.
Device name and model Showing you your open sessions and letting you close them.
Last sign-in and failed attempts Temporarily locking an account against repeated password guessing.

What is not done

  • No advertising and no profiling of any kind.
  • No analytics tools, usage statistics or crash reporting.
  • No tracking of your activity outside the app.
  • No access to your calendar, your contacts or your location.
  • No data sold, rented or handed to third parties for commercial purposes.

Permissions the app requests

Camera and photos
Only when you attach an image to a job. The photo is sent to your organization's server and stays attached to that job. The app does not browse your gallery.
Notifications
To alert you when something new is reported or something of yours changes. You can decline and the app still works.
Biometrics
Fingerprint, face or device passcode to unlock the app without retyping your password. The operating system does the checking: Calibre never receives or stores your fingerprint or your face, only whether the unlock succeeded.

Who it is shared with

Nobody, beyond what the service strictly needs to work:

  • Apple and Google are involved in delivering push notifications. They receive the device identifier and the text of the alert, because that is the only technical way a notification reaches a phone. That is why alerts carry no sensitive detail.
  • The server provider hosting the instance, its database and its files.
  • The email service used to send the password recovery link.

Data will also be handed over where a competent authority requires it through a valid legal channel.

How it is protected

  • All traffic travels encrypted over HTTPS.
  • Passwords are stored with bcrypt, never in plain text.
  • On the phone, the long-lived session is kept in the operating system's secure store —Keychain on iOS, Keystore on Android— not in the app's ordinary storage.
  • The access session lives only in memory and is requested again each time the app opens.
  • Signing out invalidates that device's access on the server, not just on the phone.

How long it is kept

Jobs, hours and costs are the organization's historical maintenance record and are kept for as long as it needs them. Your account data is kept while the account exists.

When an account is closed it loses access. The jobs that person recorded remain, because they are part of the organization's record and do not belong to the individual.

Your rights

You may request access to your personal data, its correction or its deletion, and object to certain processing. Write to soporte@usecalibre.app from the address associated with your account.

In Argentina, the Agencia de Acceso a la Información Pública is the supervisory authority for Personal Data Protection Act 25.326 and handles complaints from anyone who believes their rights have been affected.

Minors

Calibre is a work tool and is not directed at minors. No accounts are created for minors and their data is not knowingly collected.

Changes

If this policy changes, the date at the top is updated. If a change materially affects how data is handled, notice is given inside the app.
